In depth. 03
How Astrove fits transport and logistics.
The transport and logistics industry lives on the question "where is my parcel?". It comes in continuously, around the clock, from both consumers and business customers, often in several languages. Customer service teams spend large parts of the day copy-pasting tracking status from one system into email or chat replies. It is repetitive, it is inefficient, and it ties up people who could be handling complex cases such as damage, delays or customs problems.
Astrove's AI chatbot connects directly to your track-and-trace system and answers tracking questions automatically. The customer enters a tracking number (or the bot picks it up from an authenticated session), and the bot fetches the status and presents it with context: "Your parcel is on its way from Rotterdam to Munich, expected delivery 28 May between 09:00 and 17:00. If you are not at home, we can leave it in a safe place, or you can change the delivery address here." More than a bare status string — actual help.
For orders and bookings the bot can qualify the need (sender, recipient, weight, dimensions, type of goods, desired delivery time, special requirements), calculate a price estimate from your freight rate templates, and create the order directly in your system. For pickup bookings it checks availability in your route database and books the pickup in the desired window — automatically, with no manual handling. For B2B customers with an account: an overview of all active shipments, invoice history and freight statistics.
For customs, claims and complex handling there are separate flows. Customs questions are answered at a general level (documentation requirements, EORI/VAT, the ICS/EX1/NCTS process) with escalation to a customs agent for concrete cases. The claims flow collects the necessary details (tracking number, type of damage, extent, photos), creates a case in your claims system, and gives the customer a case number for follow-up. For international traffic the bot answers at native quality across European languages — essential for carriers with a significant export/import share. Implementation takes 1–2 weeks for a standard setup, longer for complex EDI integration and custom route systems.
FAQ. 04
What do transport and logistics companies need a chatbot for?+
Customers want answers to "where is my parcel?" and "when will it arrive?" — continuously, around the clock, often in several languages. Business customers (e-commerce stores, importers, B2B distribution) need price and transit-time information at the quoting stage, pickup bookings, returns handling and customs guidance. A qualified chatbot can handle much of these repetitive questions automatically.
Can the chatbot do shipment tracking?+
Yes. We integrate with your tracking system (your own track-and-trace, or via standards such as EDI). The customer enters a tracking number, the bot fetches the status from your system and presents it with context: "Your parcel is on its way from Rotterdam to Munich, expected delivery 28 May. If you are not at home, shall we leave it in a safe place?". For anonymous visitors: open tracking. For B2B customers with an account: an overview of all active shipments.
Does it work for freight orders and pickup bookings?+
Yes. The bot can qualify a freight order (sender address, recipient, weight, type of goods, desired delivery time), give a price estimate from your templates, and create the order directly in your system. For pickup bookings the bot checks availability in your route database and books the pickup in the desired window.
What about customs questions for international freight?+
The bot is trained on your customs and import information: which documents are needed, how EORI and VAT are handled, and what applies to different goods categories (postal parcels, ICS, EX1, NCTS). For concrete cases it escalates to a customs agent or declarant. Especially useful for B2B importers with recurring customs questions for the same types of shipment.
What about damage and claims?+
As a first line, the bot can receive a claim notification, collect the necessary details (tracking number, type of damage, extent, photos), create a case in your claims system, and give the customer a case number. Case handling is done by a human. For simple damage within fixed amount limits we can set up automatic approval if you want it.
What does it cost for a transport company?+
The chatbot module is €0/month — you pay only for actual AI usage, typically a few cents per customer conversation, on prepaid credit. Standard setup via Google Tag Manager is free. If you need custom integrations (tracking system, EDI connections, claims handling, invoicing system), we quote a fixed price up front — a firm number, not a "from" price.
