People consider an appointment during the commute, plan the weekend on Wednesday evening, or look for a free slot between other commitments. With a traditional phone- or form-based booking system they get an answer the next day — and by then they have already booked somewhere else, or postponed it entirely.

Astrove’s AI chatbot handles appointment booking, price and treatment FAQ, and cancellations 24/7. We integrate with the booking system you already use — Easypractice, Glofox, Booksy and MindBody are common choices, and we connect to all of them. For salons with their own calendar solution we connect via a REST API or directly to Google or Outlook Calendar.

Price FAQ is an especially valuable use. Your service list is typically long — cuts for short/medium/long hair, balayage, full colour, refresh, gel manicures, acrylics, infills, facials with different product lines. We index the whole list with prices, duration and requirements, and the bot answers specific questions with a source reference to your price-list page. The client gets the answer they need without waiting.

To reduce the no-show rate (which typically costs salons 5–15% of revenue) the bot automatically sends reminders via SMS and email 24 hours before the appointment. The client can confirm, cancel or reschedule directly from the reminder. Cancellations within your window (typically 24h) are handled without a human; late cancellations are routed to a staff member for review. Loyalty programmes (punch cards, colour subscriptions, campaigns) are integrated so the bot can tell the client their status and nudge the next purchase at a logical moment. Can the chatbot take appointment bookings directly?+

Yes. We set up an integration with the booking system you already use (Easypractice, Glofox, Booksy, MindBody, or your own calendar). The client picks a treatment, sees available times, and confirms directly in the conversation. SMS and email confirmation with a reminder 24 hours before.

What about price and treatment information?+

We index your full service list with prices, duration and requirements (hair length for colouring, skin type for facials). The bot answers “what does balayage on long hair cost?”, “how long does a gel manicure take?”, “can I get colour the same day as a cut?” with precise answers.

Can the bot handle cancellations and changes?+

Yes. The client can cancel or move an appointment in the conversation, within the cancellation window you have set (typically 24 hours before). Late cancellations are routed to a staff member for review. Making rebooking easy reduces the no-show rate.

What about loyalty programmes and packages?+

The bot can explain package prices (10-cut cards, colour-maintenance subscriptions), current campaigns, and the client’s own status (points, punch-card balance). This requires an integration with your loyalty system. It happily nudges the client towards the next package at a logical moment.
