How Astrove fits gyms and fitness studios.

The fitness industry has distinct patterns. Members plan their training in a spare moment between other commitments, often late in the evening for the next morning, or from their phone on the way home from work. Classes with limited capacity fill up fast, and a good waiting-list feature is the difference between a full and a half-empty room. Meanwhile, membership-related questions come in continuously: what is included, how long is the contract, can I freeze my subscription during the holidays, how does cancellation work.

Astrove’s AI chatbot is built to handle both sides. For class booking we connect to your booking system — Glofox, Hapana, Easypractice, MindBody or your own calendar. Members pick a class, instructor and time in the conversation and get an instant confirmation with a reminder 1 hour before. For full classes the bot offers a waiting list with automatic notification when a spot opens up.

For membership management we run a structured flow. Freezing a subscription (holiday, injury, extended leave), upgrading or downgrading a plan, cancelling within the contract terms — all handled self-service in the conversation. Complex cases (refund claims, billing complaints) are always escalated to a human with full context. That removes much of the front-desk time that otherwise went to standard membership questions.

For PT booking we run an extended flow. The member describes their goal (strength, conditioning, weight loss, rehabilitation, seniors, prenatal), the bot suggests available PTs based on specialisation, and books directly in the trainer’s calendar. For multi-site chains the member picks a location first, or the bot remembers the choice from a previous visit. Implementation takes 1–2 weeks for a standard booking integration, longer for a complex multi-site setup with a centralised member base.

What is the need for gyms and fitness studios?+

Members and prospective members reach out outside staffed hours. Questions about membership prices, what is included, class times, opening hours, parking, changing rooms, contract length, freezes and cancellation come in continuously. A chatbot can handle much of this 24/7 and book class slots directly.

Can the chatbot book class slots?+

Yes. We set up an integration with your booking system (Glofox, Hapana, MindBody, Easypractice, or your own calendar). Members pick a class, instructor and time; the bot confirms directly with a reminder 1 hour before. For classes with limited capacity the bot offers a waiting list when full.

What about freezes, cancellations and membership changes?+

The bot handles standard membership changes: freezing a subscription (holiday, injury), upgrading or downgrading a plan, cancellation within the contract terms. Complex cases (refunds, billing complaints) are escalated to a human with full context.

Does it work for PT and specialty classes?+

Yes. For PT bookings the bot routes directly into the personal trainer’s calendar, or suggests available PTs based on specialisation (strength, conditioning, rehabilitation, seniors). For specialty classes (yoga, pilates, spinning, crossfit) normal class booking applies, with a qualification check where required (an advanced-level yoga class requires prior experience).

What about multi-location chains?+

For chains with several sites the member picks a location first, or the bot remembers the choice. Class schedules, available slots and prices can vary per site. We support a centralised member base with access to all locations, or per-site memberships.

What does it cost for a mid-sized gym?+

The chatbot module is €0/month — you pay only for the AI usage that actually happens, typically a few cents per customer conversation, on prepaid credit. Standard setup via Google Tag Manager is free. If you need special integrations (booking system and membership-management integration), we quote them concretely up front — you get a firm number, not a “from” price.
